Legacy System Takeover

The system still matters. Even when the original supplier is gone.

We take over support and development for business-critical applications. Recover the knowledge needed to operate them, understand their constraints, and establish what to retain, modernize, or replace in stages.

  1. 01

    Understand the system

Map business logic, code, data, integrations, and dependencies. Combine documentation and former developers' knowledge with static, dynamic, and AI-assisted analysis to establish the current state.

  2. 02

    Plan the handover

Resolve access, licensing, support responsibilities, and critical failure scenarios. Define the tests, backup and recovery exercises, and steps needed for a controlled transition.

  3. 03

    Choose the path forward

Define the target state and gaps. Compare continued operation, targeted modernization, integration, and phased replacement across cost, resources, schedule, constraints, and transition risk.

From our team's experience

A property register without a support provider.

Municipal application / closed GIS foundation

The situation
The previous supplier terminated its contract. The application relied on an external GIS product with a closed framework that required specialist knowledge.
Our contribution
We located former developers and combined their knowledge with AI-assisted assessment to understand the application and its modification boundaries quickly.
What changed for the customer
We took over support and smaller development tasks on a short timeline. The previously unsupported application had a knowledgeable technical partner again.

AI-first design

Rethink the workflow from intent to execution.

An AI-native solution connects knowledge, decision rights, tools, and evaluation. An agent works with authorized data, can take permitted actions, and hands results or decisions to people at defined points in the workflow.

  1. 01

    Goal and criteria

Give the task an owner, a business objective, and acceptance criteria that can be checked.

  2. 02

    Knowledge and tools

Make the data and actions required by the role available through controlled access.

  3. 03

    Execution and evaluation

The system works within its assigned authority. Rules, tests, and approvals protect consequential actions.

  4. 04

    Results and feedback

Use accepted outputs, effort, and failures to improve the workflow.

What changes for the team?

People set goals, handle exceptions, and make decisions. Agents perform repeatable preparation, data gathering, and cross-system tasks within their assigned authority. Leaders can track turnaround time, acceptance rate, unit cost, and the amount of human intervention required.

What do we need to start?

  • A bounded task and a clear measure of success.
  • Usable data, appropriate access rights, and an accountable data owner.
  • System connections, a test environment, and representative tasks.
  • A process owner, approval rules, and an operating budget.

We can establish missing foundations as part of the work. Start with one well-defined workflow, then expand based on measured results.

The engineering underneath

From enterprise knowledge to systems that act.

Technology follows the task. We design around data sensitivity, your existing environment, expected workload, and operational requirements.

01Enterprise knowledgeRAG / vector and hybrid search

Implementation

Document processing, versions and metadata, a vector database or search index, and retrieval of relevant material for the answer. Enforce access filters at retrieval and retain references to the sources.

What this gives you

People receive answers grounded in knowledge they are authorized to access. We test updates, deletion, answer quality, and permission boundaries.

02Analytics and reportingSQL / data warehouse / business metrics

Implementation

Validated data connections, agreed KPI definitions, and calculations implemented in code. AI helps people ask questions, investigate relationships, and interpret results.

What this gives you

A shared definition for each metric, with traceable source data and calculations that can be verified.

03Agents and integrationsAPI / webhook / MCP

Implementation

Expose operations through narrowly scoped tool connections. Model Context Protocol (MCP) is an option where it provides a standard connection between an agent and a system. The receiving system enforces authorization.

What this gives you

Agents can take action within the workflow, with explicit permissions and approval points.

04Enterprise accessSSO / roles / isolation

Implementation

Enterprise identity, role- or attribute-based access, and separation between tenants and data domains. Secret management and rules for sending data externally are part of the design.

What this gives you

Users and agents can access only the data and actions allowed for their task. Negative test cases verify those boundaries.

05Resilient workflowsState / queues / recovery

Implementation

Preserved workflow state, timeouts, and controlled retries. Idempotent operations prevent a retry from creating a second transaction. Failed cases follow a defined recovery path.

What this gives you

Track progress and resume work after a failure. Recovery and duplicate prevention are demonstrated through tests.

06ObservabilityTraces / evals / version history

Implementation

Associate each task with model, configuration, and source versions, tool calls, evaluation results, elapsed time, and cost. Define how sensitive information is logged and retained.

What this gives you

Investigate failures and compare the effect of changes. Auditability rests on actual records and checks.

Illustrative example

What should the agent be allowed to complete?

Illustrative example: an agent processes an incoming business document and prepares the next workflow step.

Interpret

The agent uses an approved source, identifies the document, and extracts the required information. The system retains provenance and processing state.

Evaluate

Code validates required fields, amounts, and business relationships. Missing or conflicting results go to a person. The model's stated confidence is not an acceptance criterion.

Execute

Only authorized actions and approved data reach the connected system. Retries must not create duplicate postings or tasks. Failures have a traceable recovery path.

Illustrative example

Quality built into the workflow

Every accepted result needs supporting evidence.

AI outputs can vary. We build a dependable workflow around them by defining the task, permitted actions, and acceptable result up front, with repeatable checks.

01GovernanceWho has authority to decide?

Define owners, data-handling rules, decision rights, and approvals. Specify what the system can do autonomously and when a specialist must take over.

What you receive

A roles and permissions matrix, decision rules, and change control. Clear ownership for intervention and approval.

02HarnessWhat keeps the agent within bounds?

The execution environment manages tools, state, time and spending limits, isolation, and failure paths. Content in an external document must not grant the agent additional authority.

What you receive

A configured execution environment with boundary tests. Operations can be stopped, investigated, and recovered.

03Evidence and proofWhat demonstrates acceptance?

Link requirements to sources, test results, versions, and review records. A demo illustrates a particular case. Acceptance depends on results across the agreed evaluation cases.

What you receive

An acceptance package with evidence traceable to each requirement, including what was tested and in which environment.

04QA and evalsHow is quality measured?

Representative tasks, malformed and adversarial inputs, source fidelity, access boundaries, and business-rule checks. Re-run affected evaluations when models or configurations change.

What you receive

A versioned evaluation suite, thresholds, and release gates. Compare quality before and after a change.

05Maker-reviewerWho checks the work?

The maker and reviewer receive separate assignments. The reviewer checks against original sources and acceptance criteria, then verifies fixes. Automated tests and risk-appropriate expert review complement model-based evaluation.

What you receive

Review findings, fixes, and completed rechecks. Agreement between two agents alone is insufficient for acceptance.

06LoopHow does it stay useful?

Repeat the cycle of goal, execution, evaluation, measurement, and improvement. Turn operational failures into test cases and introduce changes through controlled releases.

What you receive

KPIs, alert rules, and a review cadence. Use quality, turnaround time, and cost to decide what to improve next.

The engagement

From a first engagement to an operating capability.

  1. 01

    Scope one complete workflow

From inputs to an accepted outcome. Define sources, system connections, accountability, permissions, and measurable acceptance criteria.

  2. 02

Evaluate, then run a controlled pilot

Typical cases, exceptions, missing inputs, and incorrect outputs. Assess quality, cost, latency, and the human intervention required.

  3. 03

    Operate, observe, and re-evaluate

Logging, alerts, recovery, versioning, handover, and an accountable operator. Expand based on observed results and remaining risks.

Build

Software that goes beyond the demo.

  1. Task scope, permissions, and testable acceptance criteria
  2. Evaluation cases, automated tests, and documented limitations
  3. Integrations, business rules, and versioned configuration
  4. Logs, failure handling, recovery, and cost monitoring
  5. Handover, operational ownership, and change control

A Wenova solution approach / Wenova Squad

Enterprise multi-agent systems

Autonomous work. Deliberate control.

Designing Wenova Squad gave us direct engineering experience in how specialized AI agents can work together in an enterprise setting. The work on roles, handoffs, and review informs how we design agent workflows for clients.

How it works

Define what each agent may do, which state it passes on, and how failures are handled. Duplicate-execution controls, spending limits, and separate evaluation make execution easier to trace and govern.

Designed around your business

We select the agent architecture and integrations for the business task. Authorized actions, human decision points, and acceptance tests define the operating boundaries. We then evaluate behavior, cost, and quality in the intended environment.

A few useful answers.

Can you guarantee that AI never makes a mistake?

No. Scope the task and risk so that evaluation, human approval, and failure handling can support acceptable operation. Test that design in a controlled pilot and keep measuring it in production.

What if the digital foundations are missing?

Start with the workflow, data capture, and ownership. Build or connect the tools it needs, then introduce AI tasks on usable, measurable foundations.

Does every workflow need multiple agents?

No. A defined workflow or one agent is often sufficient. Multiple roles are justified when the benefit of the division of work outweighs coordination cost and risk.

Will our existing systems need replacing?

Assessment determines whether to retain, repair, integrate, or replace in stages. Source access, rights, handover, and support are defined in the engagement.
